A week in the RW office
The administrative staff received post, emails and telephone calls and distribute accordingly. Peal are sent to external typesetters, general copy goes to the editor, and quarter peals are type-set in-house. Lengthy hard-copy content is sent to an outworker for typing.
Subscription renewals are processed, donations are received and recorded, and back copies are sent out. All monies received are banked.
Notices and advertisements are formatted ready to be placed into the current week’s issue, along with “From the E-Lists” and other time-sensitive content. The compositor begins the task of inserting other previously formatted copy to make up the rest of the issue. Proof reading begins and carries on late into the evening.
Final corrections are made to content, and layout is adjusted to make proper use of the available space. All pages are checked for one final time before the file is sent to the printer at lunchtime.
Earlier in the morning a list of active subscriptions has been extracted from the subscribers database and sent to the printers for the address labels to be printed and sorted according to the Royal Mail’s requirements for the Presstream service.
In the afternoon the compositor ensures that the electronic archive has been updated before formatting advertisements, peals and quarters ready for the following week’s issue. In the meantime the editor decides the key articles that will make up the following issue.
The compositor’s day off, therefore a non-production day. The editor spends his time responding to correspondence, following up leads and commissioning articles whilst continuing to put together the next issue.
Many of the day-to-day business operations take place today, and any necessary meetings are scheduled for a Wednesday. The accounts assistant is in the office today, ensuring that financial records are in place, and sending out invoices and statements as required.
The adverts, peals and quarters which were prepared by the compositor the previous day are proof-read and the database for the peals.co.uk website is updated.
The editor and the compositor continue to source and format content for the next and future issues.
The administrative staff gather together all of the notices for the next issue, sorting them into order, typing any submitted as hard-copy, assigning advert numbers and recording the cost of each advert ready for invoicing.
A paste up of the following week’s issue is prepared and decisions are made on what previously formatted content is suitable for the remaining spaces. Formatting of submitted content continues.
Copies of the latest issue arrive and complimentary, replacement and additional copies are prepared for mailing as required. Additional copies are set aside for archive and library copies. Subscription filing is updated and any non-standard enquiries are dealt with by administrative staff.
As well as the regular weekly tasks, the small team in the RW office also manage to prepare and distribute The Ringing World diary, calendar and other merchandise, publish a selection of supplementary editions and act as a permanent address for the Central Council of Church Bell Ringers.
